2. Scope
This policy explains how PHC handles personal information collected through the website, consultation forms, email, telephone, WhatsApp, WeChat, and later service communications. A hospital, physician, insurer, payment provider, hotel, transport provider, or other third party may have its own privacy rules and is responsible for its own processing activities.
3. Information we collect
Depending on how you interact with us, we may collect:
- identity and contact information, such as name, country or region, email address, telephone number, WhatsApp or WeChat details;
- service-request information, such as preferred city, desired date, service type, communication language, and the message you submit;
- transaction and billing information after a payment channel is activated, such as payer name, transaction reference, amount, currency, and payment status; PHC should not store full card details;
- technical and usage information, such as IP address, browser type, device information, referral source, pages viewed, and basic security logs, if analytics or security tools are enabled; and
- medical or health information only when it is necessary for an agreed service and you provide it through a separately arranged secure channel.
Please do not submit emergency information, complete medical records, identity-document scans, bank-card details, or other highly sensitive information in the public website form.
4. Why we use information
We use personal information only for specific and reasonable purposes, including:
- responding to enquiries and assessing whether PHC can assist;
- preparing a proposed service scope, quotation, timetable, or coordination plan;
- communicating with you and your authorized representative;
- coordinating, with your authorization, with relevant hospitals, physicians, interpreters, transport providers, or other service providers;
- processing and reconciling payments and refunds;
- keeping service, consent, safety, complaint, and legal records;
- protecting the website, preventing fraud, and meeting legal obligations; and
- sending marketing information only where you have separately agreed or applicable law otherwise permits it, with an easy way to opt out.
We will not use personal information for a new purpose that is incompatible with the purpose originally explained to you without providing a further notice and obtaining any consent required by law.
5. Sensitive personal information
Medical and health information, financial-account information, identity-document details, precise location information, and information about children may be sensitive personal information. PHC will process such information only where there is a specific purpose and sufficient necessity, with enhanced safeguards and a separate or express consent where required.
If PHC needs medical records after initial intake, we will explain what is needed, why it is needed, who may receive it, the risks, and the secure method for submission. Website users should not upload medical files until that process is in place.
6. Legal basis and consent
PHC processes personal information in accordance with applicable PRC law. Depending on the circumstances, processing may be based on your consent, steps requested before entering a service contract, performance of a contract, compliance with a legal obligation, protection of life or health in an emergency, or another basis permitted by law.
You may withdraw consent for future processing by contacting us. Withdrawal does not affect processing already lawfully completed, and PHC may retain information where required for an existing contract, dispute, accounting record, or legal obligation.
7. How we share information
We may share only the information reasonably necessary with:
- hospitals, physicians, health-check centers, laboratories, interpreters, or other healthcare participants you authorize us to contact;
- technology, hosting, communications, cybersecurity, payment, accounting, and professional-advisory providers acting under appropriate contractual safeguards;
- transport, accommodation, or other logistics providers where included in your agreed plan;
- your authorized family member, representative, insurer, employer, or assistance organization, based on your instructions; and
- regulators, courts, law-enforcement bodies, or other parties where disclosure is required or permitted by law.
PHC does not sell personal information.
8. Cross-border transfer
PHC does not treat overseas transfer of personal information as automatic merely because a client is outside China. Before personal information is provided to a recipient outside mainland China, PHC will, where required, explain the overseas recipient, contact details, purpose, processing method, information categories, retention, and how you may exercise your rights; obtain separate consent; and complete any contract, certification, assessment, filing, or other legal procedure required by applicable law.
PHC maintains an internal record of relevant overseas hosting, analytics, customer-relationship, messaging, payment, and storage providers. Where a cross-border transfer is proposed, PHC will provide the legally required recipient information and obtain any required separate consent before the transfer.
9. Retention
PHC keeps personal information only for as long as reasonably necessary for the stated purpose and applicable legal requirements.
- Website enquiry records: proposed period 24 months after the last meaningful interaction.
- Contract, payment, tax, and dispute records: retained for the period required by applicable law and legitimate claim-management needs.
- Medical or health files: retained only for the agreed service period and a limited follow-up period, then deleted or anonymized unless continued retention is required by law or expressly requested and agreed.
10. Security
PHC uses reasonable administrative, technical, and physical safeguards appropriate to the nature and sensitivity of the information, including role-based access, staff confidentiality, secure transmission and storage where available, vendor controls, backup and recovery measures, and incident-response procedures. No internet transmission or storage method can be guaranteed to be completely secure.
If a personal information incident occurs, PHC will take remedial measures and make any notification required by law.
11. Your rights
Subject to applicable law, you may ask PHC to:
- explain how your personal information is handled;
- provide access to or a copy of your information;
- correct or complete inaccurate information;
- delete information in circumstances provided by law;
- restrict or object to certain processing;
- withdraw consent; or
- provide a method for exercising rights on behalf of a deceased person where the law permits.
Send a request to info@primehealthcarechina.com. PHC may verify identity before acting and will explain any lawful reason for refusing or limiting a request.
12. Children
The website is not directed to children under 14. A parent or legal guardian must contact PHC and provide the required consent before PHC processes a child’s personal information. Do not submit a child’s medical records through the public website form.
13. Cookies and analytics
The website may use strictly necessary cookies for security and basic functions. Non-essential analytics, advertising, or preference cookies should not be enabled until PHC has implemented an appropriate notice and consent mechanism where required.
14. External links and messaging platforms
Links to hospitals, WhatsApp, WeChat, payment providers, or other third-party services are governed by those services’ own privacy terms. Consider the sensitivity of the information before using an external messaging platform.
15. Changes and contact
